TERMS & CONDITIONS

Service Provider: BIBI HA GIANG LOOP TOUR COMPANY LIMITED
Hereinafter referred to as “BiBi”, “we”, “us”, or “the Company.”
By booking a tour, paying a deposit, making full payment, using our website, or participating in any service provided by BiBi, the customer is considered to have read, understood, and agreed to these Terms & Conditions.
1. SCOPE OF APPLICATION
These Terms apply to services provided or arranged by BiBi, including but not limited to:
- Ha Giang Loop tours
- Ha Giang – Cao Bang tours
- Easy Rider tours
- Self-drive tours
- Car, SUV, Jeep, or other vehicle tours
- Private tours
- Group tours
- Customized tours
- Accommodation
- Bus, limousine, cabin bus, and other transportation services
- Entrance tickets
- Border permits
- Pre-tour and post-tour accommodation
- Motorcycle rental or provision
- Other additional services confirmed between BiBi and the customer
Some services may be provided directly by BiBi or through third-party providers such as bus companies, hotels, homestays, restaurants, transportation providers, or local service providers.
2. BOOKINGS AND CONFIRMATION
A booking is considered officially confirmed only when:
- BiBi has confirmed availability; and
- The customer has completed the required deposit or other confirmation method requested at the time of booking.
Communication through WhatsApp, email, social media, or the website before payment or final confirmation does not automatically guarantee availability.
BiBi may request information necessary to organize the tour, including:
- Full name
- Nationality
- Tour date
- Number of guests
- Tour type
- Room type
- Passport information
- Visa or entry stamp
- Driving licence for self-driving guests
- WhatsApp number
- Dietary requirements
- Food allergies
- Health information directly relevant to participation in the tour
- Other information reasonably necessary to organize the trip
Customers are responsible for ensuring that all information provided is accurate.
3. TOUR PRICES
Tour prices are based on:
- Prices published on our website; or
- A private quotation provided by BiBi and accepted by the customer.
Prices may vary depending on:
- Booking date
- Departure date
- Tour type
- Vehicle type
- Room type
- Number of guests
- Private or group tour
- Upgrades
- Public holidays or peak periods
- Special routes
- Customized requirements
Once the booking has been confirmed and the final price agreed by both parties, BiBi will not change the price unless:
- The customer requests additional services
- The number of guests changes
- The customer upgrades accommodation
- The customer changes vehicle type
- The customer requests changes to the itinerary
- New government fees or mandatory charges are introduced outside BiBi’s reasonable control
- Other additional costs are agreed with the customer
4. PAYMENT AND DEPOSIT
BiBi may require a deposit to secure a booking.
The amount of the deposit and payment method will be communicated at the time of booking.
The remaining balance may be paid:
- Before the tour; or
- Upon arrival in Ha Giang,
depending on the booking arrangement.
BiBi may accept one or more of the following:
- VND
- USD
- EUR
5. CANCELLATION BY THE CUSTOMER
Cancellations must be communicated in writing by email, WhatsApp, or another confirmed communication channel.
Cancellation fees will be calculated according to the cancellation policy applicable at the time of booking.
Depending on the policy in effect, charges may include:
- Cancellation sufficiently in advance: no cancellation fee
- Cancellation close to the departure date: a percentage cancellation fee
- Cancellation within 24 hours of departure or after the final cancellation deadline: up to 100% of the booking value
- Failure to appear for the tour: considered a no-show and may be non-refundable
If third-party services have already been paid for and are non-refundable, including:
- Bus tickets
- Hotel rooms
- Permits
- Entrance tickets
- Vehicles
- Transportation
- Specially booked services
BiBi may deduct the actual unrecoverable costs before refunding any remaining amount.
6. BOOKING CHANGES
Customers may request changes such as:
- Changing the date
- Changing the tour type
- Changing from Easy Rider to self-drive
- Changing from self-drive to Easy Rider
- Changing room type
- Adding or reducing guests
- Changing vehicle type
- Changing the itinerary
All changes are subject to availability and may result in additional charges.
Some amounts already paid to third-party suppliers may be non-refundable or non-transferable.
7. ITINERARIES ARE NOT ABSOLUTE GUARANTEES
Published or confirmed itineraries represent the planned route.
Ha Giang and Cao Bang are mountainous regions, and itineraries may be affected by:
- Weather
- Heavy rain
- Landslides
- Flooding
- Damaged roads
- Road construction
- Traffic accidents
- Traffic congestion
- Government regulations
- Border-area restrictions
- Safety conditions at attractions
- Guest health conditions
- Vehicle issues
- Other unforeseen circumstances
BiBi and the tour guide reserve the right to adjust:
- Routes
- Attractions
- Order of stops
- Stop durations
- Accommodation
- Activities
- Departure or finishing times
where necessary for safety or reasonable operational purposes.
A safety-related itinerary change will not be considered a failure to provide the service where a reasonable alternative is provided.
8. SAFETY PRINCIPLE
BiBi’s priority is:
Safety first – itinerary second.
Easy Riders are not expected to speed or ride dangerously simply to reach more attractions.
BiBi may:
- Remove an attraction
- Shorten an activity
- Change the route
- Prohibit swimming
- Avoid dangerous roads
- Stop or modify part of the journey
if conditions are considered unsafe.
Guests must follow reasonable instructions from:
- Tour Guides
- Team Leaders
- Easy Riders
- BiBi staff
9. EASY RIDER SERVICES
An Easy Rider is a driver who transports the guest during the tour.
Guests are required to:
- Sit correctly
- Keep their feet in a safe position
- Avoid movements that may unbalance the motorcycle
- Not get off the motorcycle until it has stopped safely
- Follow the Easy Rider’s safety instructions
- Inform the rider immediately if they feel uncomfortable or unsafe
The Easy Rider may reduce speed, stop, or adjust riding conditions as necessary.
10. SELF-DRIVING
Self-driving guests are responsible for ensuring that they:
- Hold the legally required licence
- Meet the legal age requirements
- Have suitable riding experience
- Understand that mountain riding carries greater risks than ordinary road riding
Guests must comply with Vietnamese law.
BiBi cannot guarantee that a licence presented by a guest will be accepted by Vietnamese authorities if it does not meet current legal requirements.
If a guest is:
- Stopped by police
- Fined
- Subject to vehicle detention
- Penalized because of licence issues
- Penalized for a traffic violation
the guest is responsible for their own violation unless the issue results directly from BiBi’s fault.
11. CHANGING FROM SELF-DRIVE TO EASY RIDER OR JEEP
Guests should choose their preferred riding arrangement before the tour begins.
Changing vehicles or riding arrangements during the tour may not always be immediately possible.
If a guest is unable to continue self-driving:
- BiBi will try to provide a suitable solution
- A motorcycle return fee may apply
- Additional Easy Rider, Jeep, car, or transport costs may apply
- Availability depends on vehicles and staff at the time
Any additional costs should be communicated before the service is provided, except in emergencies.
12. MOTORCYCLES
BiBi is responsible for providing motorcycles in a condition suitable for operation.
Self-driving guests should inspect the motorcycle before accepting it, including:
- Brakes
- Throttle
- Lights
- Tyres
- Horn
- Mirrors
- Basic operating components
Any abnormal condition should be reported immediately.
Continuing to use a motorcycle after noticing an issue without informing BiBi may affect the assessment of responsibility.
13. HELMETS AND PROTECTIVE EQUIPMENT
BiBi provides helmets and protective equipment depending on the tour package.
Equipment may include:
- Standard helmets
- High-quality helmets
- Knee protection
- Elbow protection
- Rain ponchos
- Other protective equipment
Guests choosing certain high-quality helmets may be required to sign an equipment-care acknowledgement.
Guests are encouraged to inspect and record the condition of the equipment before accepting it.
If equipment is:
- Lost
- Dropped
- Broken
- Damaged
- Significantly scratched due to negligence
BiBi may request reasonable compensation according to the applicable equipment policy.
For certain helmets, compensation for dropping or scratching caused by negligence may be 500,000 VND per helmet.
For loss or serious damage, compensation may be based on the actual replacement value.
14. WEATHER CONDITIONS
Tours are not automatically cancelled because of:
- Light rain
- Short periods of rain
- Cloudy weather
- Cold temperatures
- A forecast indicating possible rain
The itinerary may be modified or cancelled when there is:
- An official severe-weather warning
- Serious landslide risk
- Flooding
- Road closure
- A significant safety risk
- An instruction from local authorities
The final decision regarding whether a specific road or activity is safe rests with BiBi’s operational team based on actual local conditions.
15. SWIMMING AT WATERFALLS, RIVERS, AND NATURAL POOLS
Swimming activities are only permitted when conditions are considered safe.
Guests must follow local safety instructions.
BiBi may advise against or prohibit swimming where there is:
- High water
- Strong current
- Heavy rainfall
- Slippery rocks
- Poor water visibility
- A safety warning
- Any other unsafe condition identified by the guide
The fact that swimming is listed in an itinerary does not guarantee that swimming will always be possible.
16. TREKKING, SKY PATH, WHITE CLIFF, AND WALKING ROUTES
Certain activities may involve:
- Walking
- Uphill hiking
- Rocky paths
- Narrow routes
- Natural terrain
Guests are responsible for considering their own physical ability.
BiBi may refuse or modify an activity where there is a reasonable concern regarding safety.
17. TRAVEL INSURANCE
Unless specifically stated in the booking, personal travel insurance is not included in the tour price.
Guests are strongly recommended to purchase appropriate insurance covering:
- Motorcycle travel
- Riding as a passenger
- Self-driving
- Outdoor activities
- Medical treatment
- Accidents
- Medical evacuation
- Trip cancellation or interruption
Guests are responsible for understanding the conditions and exclusions of their own insurance policy.
18. HEALTH CONDITIONS
Guests should inform BiBi in advance of any condition that may significantly affect participation in the tour, including:
- Mobility limitations
- Recent surgery
- Severe allergies
- Medical conditions requiring emergency medication
- Conditions making extended motorcycle travel unsuitable
BiBi may decline or modify a specific activity where there is a reasonable concern that participation would be unsafe.
19. FOOD ALLERGIES AND DIETARY REQUIREMENTS
BiBi will make reasonable efforts to assist with:
- Vegetarian meals
- Vegan meals
- No-pork requirements
- Food allergies
- Other dietary requirements
However, many meals are prepared at local restaurants and homestays, and BiBi cannot guarantee a completely allergen-free environment or prevent all cross-contamination.
Guests with serious allergies must:
- Inform BiBi in advance
- Carry any necessary medication
- Manage their own emergency medication
- Communicate clearly with the guide
20. ALCOHOL AND INTOXICATING SUBSTANCES
Easy Riders are not permitted to consume alcohol while responsible for riding guests.
Self-driving guests must not operate a motorcycle after consuming alcohol or any substance that impairs their ability to ride safely.
BiBi may prevent a guest from continuing to self-drive if there is a reasonable belief that the guest is not fit to ride safely.
21. CUSTOMER CONDUCT
Guests are expected to treat the following with respect:
- Staff
- Easy Riders
- Guides
- Local communities
- Other guests
The following behaviour is not acceptable:
- Violence
- Threats
- Harassment
- Discrimination
- Sexual harassment
- Property damage
- Behaviour that creates a serious safety risk
In serious cases, BiBi may terminate services to the guest in accordance with applicable law and the seriousness of the conduct.
22. RESPECT FOR LOCAL CULTURE
Guests are encouraged to:
- Ask permission before photographing local people
- Respect religious and spiritual spaces
- Avoid entering private areas without permission
- Avoid disturbing local communities
- Avoid giving money or gifts to children in a way that encourages begging from tourists
23. ACCOMMODATION
Accommodation depends on the package selected and may include:
- Dormitories
- Homestays
- Private rooms
- Hotels
- Local guesthouses
Images on the website are for reference and the exact room may vary.
Facilities in mountainous areas may differ from those available in major cities.
BiBi may substitute accommodation with a reasonably equivalent alternative if the planned property:
- Is fully booked
- Closes
- Experiences an operational issue
- Becomes unsafe
- Is affected by circumstances beyond reasonable control
24. LUGGAGE
Guests are advised to bring only small luggage on motorcycle tours.
Large luggage may be stored at a location arranged by BiBi where this service is available.
Guests should not leave:
- Large amounts of cash
- Jewellery
- Passports
- Expensive electronics
- Other high-value items
inside unattended luggage.
BiBi is not responsible for loss beyond the extent required by applicable law.
25. BUS SERVICES AND THIRD-PARTY TRANSPORTATION
BiBi may assist customers in arranging routes such as:
- Hanoi → Ha Giang
- Ninh Binh → Ha Giang
- Sapa → Ha Giang
- Ha Giang → Hanoi
- Ha Giang → Ninh Binh
- Cao Bang → Hanoi
- Other routes
Bus and transportation companies operate independently.
Departure and arrival times may change because of:
- Traffic
- Weather
- Police checks
- Passenger collection
- Road conditions
BiBi will reasonably assist guests where problems arise, but cannot guarantee the exact arrival time of an independently operated transport service.
26. FLIGHTS AND ONWARD TRAVEL
Guests should avoid booking:
- International flights
- Important train connections
- Events that cannot be missed
too close to the scheduled end of the tour or the estimated arrival time of a bus.
BiBi is not responsible for missed onward connections caused by delays outside the Company’s reasonable control.
27. BORDER PERMITS
Some areas in Ha Giang or Cao Bang may require a border permit.
Permit fees may:
- Be included in the package; or
- Be charged separately,
depending on the selected tour.
Guests are responsible for providing passport and immigration information in sufficient time for BiBi to assist with the permit application.
If the necessary documents are not provided, BiBi may be unable to obtain the permit and may need to adjust the itinerary.
28. ENTRANCE FEES AND OPTIONAL ACTIVITIES
Services such as:
- Nho Que River boat trips
- Bamboo rafting
- Cave visits
- Waterfalls
- Attractions
- Local activities
are included only when expressly stated in the relevant tour package.
Activities marked as “optional” are not automatically included in the tour price.
29. LOST PROPERTY
If a guest leaves property behind, BiBi will make reasonable efforts to help locate it.
If an item is found, the guest is responsible for reasonable costs associated with:
- Packaging
- Postal services
- Courier services
- Transportation
BiBi cannot guarantee that lost property will be recovered.
30. PHOTOS AND VIDEOS
During the tour, Guides or Easy Riders may take photos or videos to share with guests through a WhatsApp group.
The use of guest images for advertising, social media, or commercial purposes should be subject to appropriate consent and BiBi’s privacy policy.
Guests may request that their image not be used for promotional purposes.
31. WHATSAPP GROUPS
BiBi may ask guests for permission to create or join a tour WhatsApp group for:
- Communication
- Sharing photos and videos
- Tour updates
- Important information
Participation is voluntary.
Guests should understand that their phone number and account name may be visible to other participants in the group.
32. REVIEWS AND FEEDBACK
After the tour, BiBi may provide a link allowing guests to voluntarily leave a review.
BiBi does not require guests to:
- Leave a positive review
- Give five stars
- Use specific wording
Feedback should reflect the guest’s genuine experience.
33. COMPLAINTS
If a problem occurs during the tour, guests are encouraged to immediately inform:
- Their Easy Rider
- The Guide
- The Team Leader
- BiBi’s office
Reporting a problem promptly allows BiBi an opportunity to resolve the issue while the tour is still taking place.
After the tour, complaints may be submitted in writing together with:
- Booking information
- Tour date
- Details of the issue
- Photos or videos where relevant
- The requested resolution
BiBi will review complaints in good faith and based on the available evidence.
34. REFUNDS
Any refund will be determined based on:
- The applicable cancellation policy
- Services already used
- Costs already incurred
- Non-refundable third-party costs
- The responsibility of each party
A customer is not automatically entitled to a refund simply because:
- They change their travel plans
- They do not like the weather
- They voluntarily choose not to use part of the service
- They arrive late
- They do not have the legally required licence after booking a self-drive tour
Mandatory consumer rights under Vietnamese law remain unaffected.
35. FORCE MAJEURE
BiBi is not responsible for failure to provide services as originally planned where caused by circumstances beyond its reasonable control, including:
- Natural disasters
- Storms
- Flooding
- Landslides
- Earthquakes
- Epidemics or pandemics
- War
- Civil unrest
- Major strikes
- Road closures
- Government decisions
- Security incidents
- Other force majeure events recognized by applicable law
In such circumstances, BiBi will make reasonable efforts to:
- Adjust the tour
- Reschedule services
- Offer alternative services
- Refund unused amounts where appropriate and recoverable
36. LIMITATION OF LIABILITY
BiBi remains responsible for its services to the extent required by applicable law.
Nothing in these Terms is intended to exclude liability where such exclusion is prohibited by law.
BiBi will not be responsible for loss or damage caused entirely by:
- The customer’s violation of law
- Failure to follow safety instructions
- Leaving the group without authorization
- Participating in activities outside the agreed program
- Incorrect information provided by the customer
- Failure to take reasonable care of personal belongings
- Force majeure events
37. THIRD-PARTY SERVICE PROVIDERS
Where BiBi assists in arranging services provided by an independent third party, the service may also be subject to:
- The carrier’s terms
- Hotel policies
- Bus company regulations
- Supplier terms
BiBi will provide reasonable assistance if problems arise but does not automatically assume responsibility for the independent actions of third-party providers except where required by law.
38. RIGHT TO REFUSE OR TERMINATE SERVICE
BiBi may refuse or discontinue a service where a guest:
- Creates a serious safety risk
- Behaves violently
- Harasses staff or other guests
- Intentionally violates the law
- Attempts to ride while intoxicated
- Repeatedly refuses to follow safety instructions
Any action taken will be proportionate to the seriousness of the situation.
39. PRIVACY
BiBi collects personal information only as reasonably necessary for:
- Booking administration
- Tour operations
- Border permits
- Communication
- Transportation
- Accounting
- Legal obligations
- Customer support
Personal information will not be sold to third parties.
Certain information may need to be shared with:
- Transportation providers
- Hotels
- Government authorities
- Necessary service providers
only to the extent required to provide the requested service or comply with legal obligations.
40. INTELLECTUAL PROPERTY
Content owned by BiBi, including:
- Logos
- BiBi-owned photographs
- Website content
- Designs
- Documents
- Proprietary itineraries
- Videos
may not be copied or commercially exploited without authorization.
41. WEBSITE AND TECHNICAL ERRORS
BiBi makes reasonable efforts to ensure that information on its website is accurate.
However, the website may occasionally contain:
- Display errors
- Pricing errors
- Technical errors
- Outdated information
- Payment-system errors
Where there is an obvious error, BiBi will contact the customer to clarify or reconfirm the booking before providing the affected service.
42. LANGUAGE
These Terms may be provided in:
- Vietnamese
- English
- Other languages
If there is a difference in interpretation between translations, the Vietnamese version may take precedence to the extent permitted by Vietnamese law.
43. GOVERNING LAW AND DISPUTE RESOLUTION
These Terms & Conditions are governed by the laws of Vietnam.
Any dispute should first be addressed through:
- Good-faith communication
- Negotiation
- Mediation where appropriate
If the dispute cannot be resolved amicably, it may be submitted to the competent authority or court in accordance with Vietnamese law.
44. CONSUMER RIGHTS
Nothing in these Terms is intended to remove or restrict any mandatory rights granted to customers under Vietnamese consumer protection law.
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
45. CHANGES TO THESE TERMS
BiBi may update these Terms & Conditions when necessary.
The version normally applicable to a booking will be the version in effect when the booking is confirmed, except where:
- A change is required by law; or
- The customer and BiBi agree otherwise.
The latest update date should be displayed on the website.
46. CUSTOMER ACKNOWLEDGEMENT
By booking a tour with BiBi, the customer confirms that they:
- Have read these Terms & Conditions
- Understand the nature of motorcycle travel
- Understand that mountain travel involves natural risks
- Agree to follow safety instructions
- Have provided accurate information
- Understand the booking and cancellation conditions
- Accept reasonable itinerary changes made for safety reasons
- Understand their responsibility to obtain appropriate insurance where necessary
BIBI SAFETY COMMITMENT
At BiBi Ha Giang Loop Tour, visiting every attraction is never more important than bringing our guests back safely.
We would rather slow down, change the route, or remove an attraction than compromise guest safety simply to follow an itinerary.
